About the Role
Working as a switched on Sales Secretary supporting the Directors and Sales Agents
Duties
Include but not limited to:
•        Maintaining current list of recent sales
•        Handling correspondences with Vendors and Buyers
•        Excellent writing skills in English
•        Take minutes in the Sales Meeting and amend the Stocklist
•        Preparing Exclusive Sales Authorities and General Sales Authorities  
•        Any other adhoc requests from the Directors and Team

Key selection criteria for this position:
•        Real Estate qualifications and experience - Agents Representative Certificate.  
•        Successful administration experience - minimum 1 years in Real Estate.  
•        Excellent organisational and administrative skills - particularly time management and the ability to prioritise.  
•        Excellent communication skills including the development and presentation of high quality and accurate reports.  
•        Knowledge and experience with relevant Acts  
•        Demonstrated capacity to develop and refine excellent systems and procedures.  
•        Exceptional problem-solving skills.  
•        High level of personal presentation.  
•        A team player with proven ability to work unsupervised and with initiative to meet set timeliness and deadlines.

•        Exceptional people management skills with a customer service focus.  
•        Highly organised with a focus on time management and ability to prioritise.
•        Manages expectations.  
•        Excellent negotiation and dispute/conflict resolution skills.  
•        Knowledge and experience in Real Estate.  
•        Excellent telephone manner and technique.  
•        Adheres to systems with attention to detail.  
•        Operates well under pressure.  
•        A team player.  
•        Excellent verbal, written and listening communication skills.  
•        Systems focused.  
•        Takes personal pride in appearance.  
•        Must have min of 1 year working in the real estate industry.  
•        Must be fast paced, strong attention to detail, have high level of English written skills including spelling, be competent, able to multi-task, follow instruction and provide updated feedback, know how to prioritise.  
•        Able to work autonomously, be friendly, positive, can do will do attitude and good sense of humour and outgoing.
Key Job Functions:
•        Managing, developing and sustaining excellent customer relationships.  
•        To ensure clients receive a level of service above their expectations.
•        Managing and overseeing any projects as they arise
•        Providing full and professional personal assistance to Director
•        Managing and providing timely, accurate and well-constructed reports as required within the position.  
•        Overseeing the production and distribution of the company newsletter with external providers.  
•        Assisting with the planning and coordinating of events, conferences, travel and social club activities.  
•        Liaising with service providers as required.  
•        Secretary for Listing Panel.  
•        Manage and maintain uniform process and ordering.  
•        Manage the sales prepaid advertising and outstanding advertising reporting and collection.  
•        Providing outstanding service and fully complying with company customer service standards.  
•        Developing, managing and maintaining accurate reporting systems and procedures as required.
